Policies

Bookings

  • The VCU IT Support Center equipment loan service is for VCU students, faculty and staff. More equipment is available from The Workshop.
  • A valid VCU ID card is required at pickup to have equipment released to you.
  • All equipment has been thoroughly inspected for damage and/or missing parts and accessories.
  • Check the Equipment Catalog for maximum reservation time limits for each item.
  • When booking equipment, pay close attention to the pickup and return times. These times are recorded in the inventory system, included with your confirmation email, and appear on the booking receipt. It is your responsibility to know when to pick up your equipment, when it is due and to return it on time.
  • Bookings which are not picked up within 1 hour of the scheduled time will be cancelled.
  • Never lend your equipment to anyone else. You are responsible for all equipment checked out under your name.
  • Faculty and Staff may designate a proxy to pick up equipment on their behalf. Click here to register a proxy.

Renewals

  • Equipment may be renewed once. You might not be able to renew an item if it is already reserved for another individual or is in high demand. Please make requests for renewal at least 8 hours before your return time, or your request may be automatically denied.
  • Overdue equipment will not be renewed.

Returns

  • Returns must be made to the same location from which the equipment was checked out. Returns cannot be made to anyone except IT Support Center staff.
  • Return times are considered appointments. If you would like to change your return time, call 804-828-2227.
  • Equipment is expected to be returned in the same condition it was in when it was checked out. All equipment should be returned in its case, and with all accessories in clean and proper order, all cables should be coiled and tied.
  • You are responsible for the equipment you have checked out until it is returned. If a piece of equipment is lost, stolen, or returned damaged, broken, or with missing parts, you or your department will be held financially liable.

Late Penalties

  • If equipment is overdue, you will be required to return it before you can book anything else. After three late returns in one year, you will lose equipment loan privileges for one semester.
  • Returning equipment late causes a great inconvenience to others who may have this equipment reserved. If you know that you are going to be late due to circumstances that are beyond your control, please contact our office immediately.
  • Damaged or missing equipment will be assessed for repair or replacement, and a charge will be made to you or your department.
  • If it is determined upon receipt of equipment that there was willful or deliberate abuse of the equipment, you or your department will be billed for the full replacement value of the item, regardless of the age or condition of the damaged equipment. It is also grounds for loss of booking privileges.
  • If equipment is two weeks past due, the full replacement cost of the equipment will be charged to you or your department, a hold may be placed on your account, and you will lose booking privileges for one year. Students will be referred to the Office of Student Conduct & Academic Integrity. Faculty and Staff may be subject to disciplinary action.
